Workplace Health & Safety Policy

Our Commitment to a Safe and Healthy Workplace

At Data Phase, the health, safety and wellbeing of our people are fundamental to how we conduct business.

We are committed to providing and maintaining a safe, healthy, inclusive and supportive working environment for our employees, contractors, visitors and everyone who may be affected by our business activities.

As a technology solutions and services provider operating across Australia and Singapore, we recognise that workplace health and safety extends beyond physical safety. It encompasses psychological wellbeing, responsible working practices, safe use of technology and the prevention of work-related injury and illness.

We believe that a strong safety culture is built on leadership, accountability, mutual respect and shared responsibility.

Our objective is to prevent workplace injuries and illnesses, proactively manage risks, and foster an environment where every individual feels safe, respected and empowered to raise concerns.

Workplace health and safety is not simply a regulatory obligation. It is an integral part of our corporate responsibility, operational excellence and commitment to our people.

1. Policy Scope

This policy applies to all Data Phase employees, management, contractors and individuals undertaking work on behalf of the Company.

It covers work-related activities across our business operations, including:

  • Company offices and other designated workplaces.
  • Remote and hybrid-working environments.
  • Customer, supplier and business partner premises.
  • Business travel, meetings, events and off-site activities.
  • Other locations where work is performed on behalf of Data Phase.

We expect all individuals covered by this policy to contribute to maintaining a safe and healthy working environment and comply with applicable health and safety requirements.

2. Legal and Regulatory Compliance

Data Phase is committed to meeting its workplace health and safety obligations in every jurisdiction in which it operates. Our approach is guided by applicable legislation, regulatory requirements and recognised good practices, including:

Australia
Applicable Commonwealth, state and territory Work Health and Safety (WHS) and Occupational Health and Safety (OHS) legislation, regulations and approved codes of practice.

Singapore
The Workplace Safety and Health Act, its subsidiary legislation and applicable requirements administered by the Ministry of Manpower.

We recognise that regulatory requirements may differ between jurisdictions. Where applicable, our policies and procedures will be adapted to meet local legal obligations while maintaining a consistent commitment to workplace safety throughout our organisation.

Nothing in this policy is intended to limit or exclude any statutory workplace health and safety rights or obligations.

3. Leadership and Management Accountability

Data Phase management is responsible for providing leadership, resources and oversight to support an effective workplace health and safety framework. We are committed to:

  • Providing and maintaining a safe working environment, equipment and systems of work, so far as reasonably practicable.
  • Identifying foreseeable hazards, assessing associated risks and implementing proportionate and effective control measures.
  • Integrating health and safety considerations into operational planning and business decisions.
  • Providing appropriate information, instruction, training and supervision.
  • Ensuring workplace safety concerns are taken seriously and addressed in a timely manner.
  • Consulting and communicating with employees on matters affecting their health, safety and wellbeing.
  • Encouraging the reporting of incidents, hazards and near misses without fear of retaliation.
  • Supporting employees affected by work-related injuries or illnesses.
  • Monitoring the effectiveness of safety arrangements and implementing improvements where necessary.

4. Employee and Contractor Responsibilities

Maintaining a safe workplace requires the active participation and cooperation of everyone. Individuals are encouraged to raise potential safety risks early, allowing appropriate preventive measures to be considered before incidents occur. Employees and contractors are expected to:

  • Take reasonable care of their own health and safety and that of others who may be affected by their actions.
  • Comply with applicable health and safety laws, workplace procedures and reasonable management instructions.
  • Use equipment, facilities and resources appropriately and safely.
  • Promptly report hazards, unsafe conditions, incidents, injuries and near misses.
  • Cooperate with relevant safety assessments, investigations and corrective actions.
  • Participate in appropriate health and safety training and awareness activities.
  • Maintain safe working practices when working remotely or at third-party premises.
  • Treat colleagues, customers and business partners with professionalism, dignity and respect.
  • Refrain from conduct that could endanger the physical or psychological wellbeing of others.

5. Workplace Risk Management

Data Phase adopts a preventive and risk-based approach to managing workplace health and safety. We seek to identify hazards, assess their potential impact, implement suitable controls and review their effectiveness. Our risk management approach considers the nature of our technology and professional services operations, with particular attention to:

Physical and Environmental Safety
Maintaining appropriate workplace conditions, including safe access, lighting, ventilation, electrical equipment, fire safety and general housekeeping.

Ergonomics and Computer-Based Work
Reducing risks associated with prolonged computer use, unsuitable workstations, repetitive activities and sedentary working patterns.

Remote and Hybrid Working
Promoting safe and practical home-working arrangements, appropriate workstation setup and effective communication between employees and management.

Psychosocial Health and Wellbeing
Identifying and managing work-related risks associated with excessive workloads, fatigue, unreasonable work demands, bullying, harassment and workplace conflict.

Business Travel and External Worksites
Considering health and safety risks arising from business-related travel and work undertaken at customer, supplier or partner locations.

Equipment and Operational Activities
Promoting safe handling, installation, movement and use of IT and office equipment relevant to our business activities. Where risks cannot reasonably be eliminated, appropriate measures will be implemented to minimise exposure and reduce the likelihood of harm. Risk controls will be reviewed when work arrangements change, new hazards are identified or incidents indicate that existing arrangements may be inadequate.

6. Psychological Health, Wellbeing and Respect

Data Phase recognises that psychological health is an essential component of workplace safety.

We are committed to fostering a professional environment in which employees feel respected, supported and able to perform their duties without unnecessary risks to their mental or physical wellbeing.

We seek to promote:

  • A workplace culture free from bullying, harassment, discrimination and intimidation.
  • Respectful communication, collaboration and professional conduct.
  • Reasonable workload planning and appropriate management of work-related fatigue.
  • Clear expectations, effective communication and access to management support.
  • Awareness of work-related stress and psychosocial hazards.
  • A working environment in which employees feel comfortable raising concerns.

Concerns relating to psychological health or inappropriate workplace conduct will be treated seriously and handled with appropriate sensitivity, confidentiality and fairness.

7. Flexible and Remote Working

Recognising the evolving nature of modern workplaces, Data Phase supports responsible and safe working practices across approved office-based, remote and hybrid-working arrangements.

We encourage employees to maintain suitable working conditions, including appropriate workstation ergonomics, safe electrical equipment and reasonable measures to minimise work-related discomfort or injury.

Employees are encouraged to take appropriate breaks, manage fatigue and communicate any concerns that may affect their ability to work safely.

Remote-working arrangements do not remove the shared responsibility to identify hazards, manage risks and maintain appropriate workplace safety standards.

8. Consultation, Communication and Employee Participation

Data Phase believes that meaningful consultation and open communication are essential to effective workplace health and safety management.

Employees are encouraged to participate in discussions about workplace risks, safety improvements and proposed changes that may affect their working conditions.

We will promote communication through appropriate channels, including direct engagement with management, team discussions, employee feedback and other consultation arrangements required by applicable legislation.

Where health and safety issues are raised, management will consider the concerns, assess associated risks and determine appropriate actions.

We recognise the value of employee experience and feedback in strengthening workplace practices and supporting continuous improvement.

9. Incident Reporting and Corrective Action

All work-related incidents, injuries, illnesses, hazardous conditions and near misses should be reported promptly to management or the designated Company representative. Data Phase is committed to responding appropriately to reported concerns, with priority given to protecting individuals and preventing further harm.

Depending on the circumstances, our response may include:

  • Providing or arranging immediate assistance where necessary.
  • Recording and assessing the reported incident.
  • Investigating relevant circumstances and contributing factors.
  • Identifying and implementing corrective or preventive actions.
  • Communicating relevant safety information to affected individuals.
  • Meeting applicable regulatory reporting and notification obligations.

Incident reviews will focus on identifying underlying causes, improving workplace practices and reducing the likelihood of recurrence. Information relating to incidents and affected individuals will be managed with due regard for privacy, confidentiality and applicable legal requirements.

10. Emergency Preparedness

Data Phase recognises the importance of appropriate emergency preparedness in protecting employees and others who may be affected by workplace emergencies.

We will maintain or coordinate suitable emergency arrangements having regard to the nature of our workplaces, business activities and applicable legal requirements.

These arrangements may address fire and evacuation procedures, first aid, medical emergencies, workplace hazards and other situations requiring an immediate response.

Where we operate from shared premises or customer locations, we will cooperate with the relevant building management, site operators and responsible parties in relation to applicable emergency procedures.

Employees will be provided with appropriate information about relevant emergency arrangements and are expected to follow applicable safety instructions.

11. Injury Management and Return to Work

Data Phase is committed to supporting employees who experience work-related injuries or illnesses through a fair, respectful and supportive approach to injury management and recovery.

Our objective is to facilitate safe, timely and sustainable return-to-work outcomes, where appropriate and consistent with medical advice and applicable legal requirements.

We seek to:

  • Encourage prompt reporting of work-related injuries and illnesses.
  • Facilitate appropriate communication and assistance throughout the recovery process.
  • Cooperate with relevant medical professionals, insurers and regulatory bodies where required.
  • Consider suitable duties, workplace adjustments or modified work arrangements where reasonably practicable.
  • Support employees in returning to productive work safely and sustainably.
  • Review relevant incidents and identify measures to prevent similar occurrences.

12. Continuous Improvement and Governance

Data Phase recognises that workplace health and safety requires ongoing attention, evaluation and improvement.

We are committed to reviewing our safety practices in response to relevant legislative developments, operational changes, employee feedback, incident findings and emerging workplace risks.

Management is responsible for overseeing the implementation and effectiveness of this policy and ensuring that appropriate improvements are considered and introduced when necessary.

This policy will be reviewed at least annually, or earlier where required by significant regulatory, organisational or operational changes.

Through ongoing awareness, consultation and accountability, we aim to strengthen our workplace safety culture and maintain practices that reflect the evolving needs of our people and business.
